ITS has disabled the Zoom AI Companion, but other non-Swarthmore meeting hosts and attendees are increasingly inviting a AI bots to meetings to transcribe notes and produce meeting summaries.<\/p>\n\n\n\n<p>This growing trend raises concerns about privacy, data security, and meeting etiquette.<\/p>\n\n\n\n<p>A recent Chronicle of Higher Education article, <a href=\"https:\/\/www.chronicle.com\/article\/ai-assistants-keep-joining-meetings-administrators-say-its-out-of-control\">AI Assistants Keep Joining Meetings. Administrators Say It\u2019s Out of Control<\/a>, highlights troubling incidents where AI bots attended meetings without the owner&#8217;s knowledge.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\"><p>The Chronicle documented both individual and universitywide instances of this trend. At Tidewater Community College, in Virginia, &#8230; an instructional designer, unwittingly gave Otter.ai\u2019s tool access to her calendar, and it joined a Faculty Senate meeting she didn\u2019t end up attending. \u201cOne of our [associate vice presidents] reached out to inform me,\u201d she wrote in a message. \u201cI was mortified!\u201d<\/p><\/blockquote>\n\n\n\n<h2 class=\"wp-block-heading\">If You\u2019re Considering Using an AI Tool in Zoom<\/h2>\n\n\n\n<p><strong>Follow <a href=\"https:\/\/www.swarthmore.edu\/its\/guidelines-use-artificial-intelligence-ai\">College AI Guidelines<\/a><\/strong>: Many free tools do not adequately protect your data. Meetings often involve private or sensitive information, so always consult ITS before using any unapproved tools.<\/p>\n\n\n\n<p><strong>Be Transparent<\/strong>: Inform all meeting attendees that you are using an AI tool and obtain their permission before proceeding.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">If You Encounter Someone Else Using an AI Tool<\/h2>\n\n\n\n<p><strong>Ask questions<\/strong>: Inquire about whether the tool has been vetted for privacy and security. Understanding the risks can help protect your data and the integrity of the meeting.<\/p>\n\n\n\n<p><strong>Take Action<\/strong>: If an unauthorized or unknown bot joins your meeting, remove it to safeguard your discussion.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Balancing Innovation and Caution<\/h2>\n\n\n\n<p>As AI technology becomes integrated into more services, we will be faced with increasing challenges that force us to balance productivity and digital safety. By staying informed and practicing good digital etiquette, we can ensure a secure and respectful environment for all.
